# Creating a PDF report
> PDF reports turn a dashboard into a shareable document, with the report filters applied to every chart on it.
A PDF report is a snapshot of your project's performance, rendered as a document you can download, attach to an email, or drop into a client deck. Instead of screenshotting charts one by one, you pick a dashboard and a set of filters, and Promptwatch renders the full report for you in the background.
### What a report contains
A report prints a dashboard. It opens with a header: your brand logo, the creation date, the title (the project name followed by "Dashboard Report" for the main dashboard, or the dashboard's name followed by "Report" for a custom dashboard), the date range, a "Filters:" line when any filter is set, and two gauges, **Visibility score** and **Content coverage**. A gauge hides itself when it has no data. Then come the dashboard's widgets, in the order they have on the dashboard.
Nine widgets can print: **Brand visibility over time**, **Brand sentiment**, **Visibility by country**, **Heatmap**, **Top cited domains over time**, **Top ranked URLs**, **Top YouTube videos**, **Top Reddit posts**, and **Top LinkedIn posts**. A default dashboard has eight of them (no LinkedIn). A report prints whichever widgets the dashboard you export has, so a custom dashboard with three widgets gives a three-chart report. List widgets (Top ranked URLs and the YouTube, Reddit and LinkedIn lists) print their top 5 rows. Every widget gets all the report's filters: the date range, models, prompt types, and topics you set in the export modal, plus the monitors selected on the dashboard. The modal has no Monitors filter of its own, so to report on one market or language, filter the dashboard by that monitor before you export. Each chart prints with its own settings as they are on the dashboard: the brand visibility view and Compare previous, the Heatmap's rows, columns, metric, and brands, and the competitors on Top cited domains. The report uses the widgets as they are on screen, so unsaved layout changes block the export until you save or cancel them (the button says "Save or cancel your layout changes to export").
### How to create one
1. Click **Home** in the left rail and open the dashboard tab you want to export: the main dashboard or any custom dashboard.
2. In the dashboard's filter row, click **Export** (the PDF icon, at the right end, after the date range).
3. In the **Export Dashboard Report** modal, stay on the **Instant report** tab.
4. Adjust the filters and click **Generate report**.
#### Filters and options
* **Global filters**: a **Date Range** picker (presets like last 7, 14, 30 or 90 days, or a custom range), plus **Models**, **Types**, and **Topics**.
* **Email notification**: check "Email me the PDF report once generated" and the finished PDF arrives in your inbox, so you don't have to wait around for larger reports. The email carries a download link; the PDF itself is attached when it is 10 MB or smaller. This is off by default.
The modal has no chart options: change a chart on the dashboard, such as its chart type or [share of voice](/docs/academy/share-of-voice) view, and the preview follows.
The modal shows a live **Preview** on the right, which is the actual report layout with your current filters applied. What you see there is what the PDF will contain. **Hide** collapses it and **Show preview** brings it back.
### Where the report lands
Reports generate in the background, so you can keep working while charts render. A toast shows the report in progress with a **View reports** button. When it finishes, the browser downloads the PDF automatically and the toast reads "Dashboard report complete!".
To find it later, press Cmd+K (Ctrl+K on Windows and Linux), search for **Reports** (listed under Reporting) and open it. The page has three tabs: **PDF Reports**, **Exports** (the Excel and CSV exports from data tables, see [Exporting your data](/docs/academy/exporting-your-data)), and **Scheduled Reports** (see [Scheduling and sharing reports](/docs/academy/sharing-reports)). Reports has no rail or menu entry; Cmd+K and the toast button are the ways in. See [Product map](/docs/academy/product-map) for how Cmd+K fits in the navigation.
On the **PDF Reports** tab, each row shows a status icon, the type ("Dashboard", with a calendar icon when a schedule generated it), the filters it was created with, when it was created, and a **Download** button. A report still rendering shows "Processing...", and a failed one shows "Failed" with the error in a tooltip. Rows are project-wide, so your teammates' reports are listed too. Download links are refreshed automatically, so older reports stay downloadable.
A few practical limits:
* **Three at a time**: each project can have up to 3 reports generating at once. Wait for one to finish before queueing a fourth; otherwise you get a "Failed to start report" toast.
* **Plan availability**: PDF reports are available on Professional and above (Business, Agency, and Enterprise included), not on Explore or Essential. On plans without them, **Generate report** opens an upgrade prompt. The same feature gates Excel and CSV exports and report schedules. See [Plans and billing](/docs/academy/plans-and-billing).
* **Roles**: members with the Viewer role see the **Export** button, but generating a report is refused as a view-only action, and the **Scheduled report** tab is hidden for them. Viewers can still export data tables. See [Team and roles](/docs/academy/team-and-roles).
* **Inactive subscription**: while the subscription is not active, for example because of an open invoice, the **Export** button is disabled with the tooltip "Reports are paused until the open invoice is paid."
### Other ways to generate reports
If you've connected Promptwatch to Claude or another AI assistant through [MCP](/docs/academy/mcp), you can ask it to generate a report for you: it queues a report of the default widgets through the same engine, without email, then fetches the download link once the report is complete. After your first report, consider putting it on a schedule so stakeholders get a fresh PDF every week without you touching the export modal. Schedules are created from the same modal, on the **Scheduled report** tab. See [Scheduling and sharing reports](/docs/academy/sharing-reports).
